Booking Policies
Clear expectations make for better shoots. Read through the policies below before booking — they cover payment, cancellation, turnaround, image rights, and privacy.

Booking & Payment
- Sessions are confirmed only after the agreement is signed, the deposit is verified, and calendar confirmation is issued. An inquiry or verbal agreement does not hold your date.
- The remaining balance is due 24 hours before the session unless a different schedule is agreed to in writing.
- Booking deposits and card payments are collected through secure Stripe checkout. Any alternate payment arrangement must be approved in writing before it is sent.
- Prices listed are base rates. Applicable travel, studio rental, hair and makeup, and rights beyond the agreed package license may be quoted separately. Agreed personal or named-business organic website, social and PR usage is not charged again when it is already part of the package.
Deposits & Refunds
- A non-refundable deposit of 30% of the approved session total is required after the agreement is signed. The date is reserved only after the signed agreement and deposit are verified and calendar confirmation is issued.
- The deposit is non-refundable under all circumstances, including weather, personal emergencies, and changes in plan. It may be applied as credit toward a rescheduled session at my discretion.
- Refunds on the remaining balance are issued only if I cancel the session due to circumstances on my end. Force-majeure events (extreme weather, medical emergency) will be handled case by case with a rescheduled date offered first.
- Digital files are delivered after final payment is received in full. Delivery will not be released on an outstanding balance.
48-Hour Cancellation Policy
- Cancellations made more than 48 hours before the session forfeit the deposit but owe nothing further.
- Cancellations made within 48 hours of the session are subject to a cancellation fee equal to 100% of the remaining balance, in addition to the forfeited deposit.
- Rescheduling requests made more than 48 hours in advance are accommodated once at no charge, subject to availability. A second reschedule requires a new deposit.
- No-shows (client does not appear within 30 minutes of session start with no communication) are treated as a same-day cancellation and the full session fee is owed.
Delivery & Turnaround
- Standard final photo and video delivery is 7–10 business days from the session date. Larger or custom productions may use a different schedule when stated in the agreement.
- A preview of 3–5 selects is delivered within 72 hours of the session as a sneak peek. The preview is not the final delivery.
- Rush delivery (48 hours turnaround) is available for an additional fee of $250 and must be requested and confirmed before the session date.
- Files are delivered via a private online gallery link. Links expire after 90 days — download and back up your images promptly. Re-delivery after expiration is subject to a $50 archive fee.
- RAW photos, original video recordings and unedited/project source files are excluded from standard packages. Sean may approve specifically selected original media, case by case, under a premium written quote and defined usage license; no whole-card handover is implied.
Image Rights & Licensing
- Copyright in original photo and video work remains with its legally established owner unless validly transferred by signed agreement. Delivery of edited or original files does not itself transfer copyright.
- Qualifying personal packages include the agreed use of finished files for personal sharing, prints and personal portfolios. Business packages include the agreed organic use by the named client on its own website, social channels and PR. Each written package agreement defines what is included.
- Paid advertising and boosted posts, packaging, merchandise, broadcast, stock/resale, unrelated brand or sponsor use, sublicensing and exclusivity require separately documented rights or a package that expressly includes them. - Normal platform resizing and cropping are permitted when covered by the agreed use; resale, unauthorized removal of copyright notices or watermarks, misleading alteration, AI training and NFT minting are not included without separate permission.
- I reserve the right to use session images in my portfolio, website, social media, and promotional materials. If you require confidentiality, a privacy addendum must be agreed upon and signed before the session.
Model Release
- By booking a session, all adult subjects (18+) agree to a standard model release allowing SEANSHOTTHAT to use images for portfolio, editorial, and promotional purposes unless a written opt-out is submitted before the session.
- For minors (under 18), a parent or legal guardian must sign a minor model release form before the session begins. No session will proceed without this signature.
- The release covers use in print and digital media, social platforms, advertising materials promoting my photography services, and editorial submissions. It does not cover third-party commercial use without additional compensation.
- You may request a limited release (portfolio-only or social-only) at booking. Full opt-out of any photographer usage must be negotiated at time of booking and may affect pricing.
SMS / Text Messaging
- By checking the SMS consent box on the contact or booking form, you agree to receive text messages from SEANSHOTTHAT / Gower Street Media, LLC regarding your inquiry or booking. These messages may include booking confirmations, appointment reminders, gallery delivery notifications, follow-up messages related to your session, and client support.
- SMS consent is optional. You will not be excluded from services if you choose not to opt in.
- Message frequency varies based on your booking activity. Standard message and data rates may apply.
- To stop receiving SMS messages at any time, reply STOP to any text you receive. For help, reply HELP or email booking@seanshotthat.com.
- Your mobile number is never sold or shared with third parties for their marketing purposes.
Privacy
- Personal information collected during booking (name, email, phone, address) is used solely to facilitate your session and is never sold to third parties.
- Payment details are processed through secure third-party processors (Stripe). I do not store your card information.
- Contract documents are stored securely and retained for 3 years for business records purposes.
- You may request deletion of your personal data at any time by emailing booking@seanshotthat.com, subject to legal retention obligations.
- Session images stored in my archive are held for a minimum of 1 year. After that window, they may be deleted. I am not liable for data loss after the 90-day gallery link expires.
