Booking Policies
Clear expectations make for better shoots. Read through the policies below before booking — they cover payment, cancellation, turnaround, image rights, and privacy.

Booking & Payment
- All sessions are confirmed only after a signed contract and deposit are received. An inquiry or verbal agreement does not hold your date.
- Full payment is due no later than 24 hours before the session start time unless a payment plan was agreed to in writing at time of booking.
- Accepted payment methods: Venmo, Zelle, cash, and major credit/debit cards through the booking portal. Checks are not accepted.
- Prices listed are base rates. Travel outside a 30-mile radius of Ontario, CA, studio rental fees, hair and makeup, and licensing for commercial use are quoted separately.
Deposits & Refunds
- A non-refundable deposit of 50% of the session total is required to reserve your date. This deposit secures your spot and covers pre-production time.
- The deposit is non-refundable under all circumstances, including weather, personal emergencies, and changes in plan. It may be applied as credit toward a rescheduled session at my discretion.
- Refunds on the remaining balance are issued only if I cancel the session due to circumstances on my end. Force-majeure events (extreme weather, medical emergency) will be handled case by case with a rescheduled date offered first.
- Digital files are delivered after final payment is received in full. Delivery will not be released on an outstanding balance.
48-Hour Cancellation Policy
- Cancellations made more than 48 hours before the session forfeit the deposit but owe nothing further.
- Cancellations made within 48 hours of the session are subject to a cancellation fee equal to 100% of the remaining balance, in addition to the forfeited deposit.
- Rescheduling requests made more than 48 hours in advance are accommodated once at no charge, subject to availability. A second reschedule requires a new deposit.
- No-shows (client does not appear within 30 minutes of session start with no communication) are treated as a same-day cancellation and the full session fee is owed.
Delivery & Turnaround
- Standard turnaround is 2–3 weeks from the session date for edited photo galleries. Video work is quoted separately and typically runs 3–4 weeks depending on scope.
- A preview of 3–5 selects is delivered within 72 hours of the session as a sneak peek. The preview is not the final delivery.
- Rush delivery (48-hour turnaround) is available for an additional fee of $250 and must be requested and confirmed before the session date.
- Files are delivered via a private online gallery link. Links expire after 90 days — download and back up your images promptly. Re-delivery after expiration is subject to a $50 archive fee.
- I do not deliver unedited RAW files under any circumstances.
Image Rights & Licensing
- All images and video content remain the intellectual property of SEANSHOTTHAT / Gower Street Media, LLC. Copyright is retained by the photographer regardless of delivery.
- Personal use license: clients receive a personal, non-exclusive, non-transferable license to use delivered images for personal social media, print, and portfolio purposes with photographer credit (@sean.shotthat78).
- Commercial use (advertising, product sales, brand campaigns, paid media, stock licensing) is not included in standard session fees and requires a separate commercial license agreement.
- Client may not alter, crop out watermarks, apply filters, or sell images. AI training use and NFT minting are expressly prohibited.
- I reserve the right to use session images in my portfolio, website, social media, and promotional materials. If you require confidentiality, a privacy addendum must be agreed upon and signed before the session.
Model Release
- By booking a session, all adult subjects (18+) agree to a standard model release allowing SEANSHOTTHAT to use images for portfolio, editorial, and promotional purposes unless a written opt-out is submitted before the session.
- For minors (under 18), a parent or legal guardian must sign a minor model release form before the session begins. No session will proceed without this signature.
- The release covers use in print and digital media, social platforms, advertising materials promoting my photography services, and editorial submissions. It does not cover third-party commercial use without additional compensation.
- You may request a limited release (portfolio-only or social-only) at booking. Full opt-out of any photographer usage must be negotiated at time of booking and may affect pricing.
SMS / Text Messaging
- By checking the SMS consent box on the contact or booking form, you agree to receive text messages from SEANSHOTTHAT / Gower Street Media, LLC regarding your inquiry or booking. These messages may include booking confirmations, appointment reminders, gallery delivery notifications, follow-up messages related to your session, and client support.
- SMS consent is optional. You will not be excluded from services if you choose not to opt in.
- Message frequency varies based on your booking activity. Standard message and data rates may apply.
- To stop receiving SMS messages at any time, reply STOP to any text you receive. For help, reply HELP or email seanshotthat45@gmail.com.
- Your mobile number is never sold or shared with third parties for their marketing purposes.
Privacy
- Personal information collected during booking (name, email, phone, address) is used solely to facilitate your session and is never sold to third parties.
- Payment details are processed through secure third-party processors (Stripe). I do not store your card information.
- Contract documents are stored securely and retained for 3 years for business records purposes.
- You may request deletion of your personal data at any time by emailing seanshotthat45@gmail.com, subject to legal retention obligations.
- Session images stored in my archive are held for a minimum of 1 year. After that window, they may be deleted. I am not liable for data loss after the 90-day gallery link expires.
